Refund & Project Policy

This Policy sets out the terms under which refunds are issued, how projects are managed, and how the credit mechanism between Axonbiz service tiers operates. It applies to all engagements with Epixels Web-Design.

1. Deposit Policy

All project-based services require a 50% non-refundable deposit prior to commencement. This deposit covers:

• Allocation of consultant and production time to the project
• Initial research, discovery, and planning work
• Any third-party costs incurred on behalf of the Client

2. Pre-Qualification Readiness Check — AED 999

The Readiness Check is a fixed-fee diagnostic service. The following terms apply:

• Full refund: Available only if cancellation is requested before any document review has commenced.
• No refund: Once document review has begun, the AED 999 fee is non-refundable.
• Credit mechanic: The AED 999 fee is credited 100% toward the Company Pre-Qualification Profile service if engaged within 90 days of report delivery.
• Credit expiry: The credit lapses if the Profile service is not engaged within 90 days.

3. Company Pre-Qualification Profile

Profile projects follow a structured milestone payment and refund framework:

• Deposit (50% — non-refundable): Required before work commences. Non-refundable once document review or content drafting has begun.
• Balance (50%): Due before final file delivery. No refund on balance once final drafts have been approved by the Client.
• Revision rounds: Up to three revision rounds are included. Requests beyond this scope are billed separately.
• Credit mechanic: The full Profile fee (net of any Readiness Check credit already applied) credits 100% toward the Authority Website service if engaged within 120 days of profile delivery.

4. Authority Website & Launch

Website projects involve phased delivery. The following applies:

• Deposit (50% — non-refundable): Required before design or development commences.
• Balance (50%): Due before website goes live or files are transferred. No refund once the site has launched or files have been handed over.
• Cancellation mid-project: If the Client cancels after commencement, fees are payable for all work completed to the point of cancellation. A detailed work log will be provided.
• Credit mechanic: Profile service fees previously paid credit toward this service per the agreed schedule.

5. Growth & Compliance Retainer

Retainer services operate on a monthly or quarterly subscription basis:

• Advance payment: All retainer fees are payable in advance.
• No refund for current period: Fees paid for the current billing period are non-refundable.
• Cancellation: Either party may cancel with written notice as specified in the service agreement. No fees are charged for periods after the notice period expires.
• Preferred rate: Clients who have completed the Website service receive the preferred retainer rate as agreed in their service documentation.

6. The Credit Mechanic — How It Works

Axonbiz operates a compounding credit system across all four service tiers. Each fee paid credits forward to the next service:

• AED 999 Readiness Check → 100% credited toward Company Profile (valid 90 days)
• Company Profile fee → 100% credited toward Authority Website (valid 120 days)
• Authority Website fee → Preferred rate applied on Growth Retainer

7. Disputed Deliverables

If the Client believes a deliverable does not meet the agreed scope:

• Written notification must be submitted to info@axonbiz.com within 7 calendar days of delivery.
• Disputes raised after 7 days of delivery will be treated as acceptance.
• We will review the deliverable against the agreed brief and respond within 5 business days.
• Where a genuine scope gap is identified, we will remedy it within the agreed revision framework at no additional charge.
• Disagreement with creative or strategic direction does not constitute a scope failure.

8. Force Majeure

Epixels Web-Design shall not be liable for delays or failures in service delivery caused by circumstances beyond reasonable control, including but not limited to: platform outages, third-party service failures, natural events, or regulatory changes affecting project delivery. In such cases, we will communicate promptly and agree revised timelines.

9. Governing Law

This Policy is governed by the laws of the United Arab Emirates. Disputes shall be subject to the exclusive jurisdiction of the competent courts of Dubai, UAE.
